Privacy Notice
Our rule: Cub Coach should know as much as possible about the lesson and as little as possible about the student.
What Cub Coach needs
Cub Coach may use the student's question and learning context such as subject, skill, grade-level context, lesson goal, and approved instructional content so it can provide learning support.
What students should not share
- Full name
- Home address
- Phone number or personal email
- Password, passcode, or student ID
- Birthdate
- Grades, medical information, IEP/504 information, or discipline information
Cub Coach includes a privacy filter designed to remove several common types of private information before a learning question is sent to the AI service. Automated filters are an added safeguard, not a guarantee.
Student records
Cub Coach is not designed to connect to PowerSchool/SIS records, IEP or 504 records, discipline records, medical records, attendance records, assessment records, or teacher answer keys.
Conversation handling
The Academy does not intentionally create permanent student conversation profiles. Cub Coach uses limited recent conversation context to continue a learning interaction. Browser session identifiers are random, are not student names or emails, and are configured to expire.
AI processing
Cub Coach sends filtered learning requests to the OpenAI API. The Academy configures requests not to be stored as application conversations and does not use student questions for advertising or student profiling. Provider-level service and safety retention may still apply according to the provider's current API terms and data controls.
Families
Families may ask questions about how Cub Coach works, privacy practices, or request review of the Academy's data practices through the classroom or school communication channels.
Important
This notice describes the current teacher-developed Cub Coach design. It should not be interpreted as a statement that Cub Coach has already received district approval or a legal certification of FERPA or COPPA compliance.
